Location: Calgary, Alberta (Hybrid, minimum 3 days/week in office)
Employment Type: Full-Time Employee (9:00am – 5:00pm Monday-Friday)
Start Date: January 2026
Reports To: Vice President Calgary Operations

About CGAI

The Canadian Global Affairs Institute (CGAI) is an independent, non-partisan think tank focused on Canada’s role in international affairs, including defence, trade, foreign relations, and energy policy. We convene experts, decision-makers, and the public to support informed policy discussion through events, publications, and partnerships.

Position Summary

The Calgary Operations Coordinator will play a key role in planning and delivering CGAI programming in Calgary and in supporting the organization’s national operations. This role combines event coordination, operational support, bookkeeping, and grant administration. The ideal candidate is a proactive collaborator who thrives in a dynamic environment and is eager to take ownership of new responsibilities quickly.

Key Responsibilities

Event Coordination & Planning

  • Lead planning and execution of Calgary-based events focused on defence, trade, and foreign relations
  • Support planning and delivery of events in Ottawa, Toronto, Vancouver, and other locations focused on defence, trade, and foreign relations
  • Coordinate and deconflict CGAI’s organization-wide events calendar
  • Work closely with colleagues in the Ottawa and Calgary offices to ensure effective load-sharing on events strategy

Operations & Administration

  • Support Calgary office operations including basic bookkeeping, vendor engagement, invoicing, and tracking expenses
  • Copyediting of CGAI internal and external publications
  • Assist with sponsorship and delegate communication, program logistics, and post-event reporting
  • Maintain well-organized internal records, schedules, and workflows

Grants & Development

  • Track grant deliverables and reporting requirements
  • Lead initial drafting of grant applications and identify new funding opportunities
  • Collaborate with senior staff to maintain strong relationships with funders and supporters

Required Qualifications & Attributes

  • Undergraduate degree or diploma in a relevant discipline
  • Master’s degree in a relevant discipline (e.g., International Relations, Political Science, Public Policy, or related field) is an asset, though not mandatory
  • 1–3+ years of experience, including internships, with preference for experience in event coordination, grants administration, and/or bookkeeping
  • Strong communication skills, both written and verbal
  • Familiarity with Microsoft applications and software
  • Demonstrated ability to coordinate across teams and manage multiple tasks simultaneously
  • High degree of professionalism, organization, and attention to detail
  • Fast learner with a growth mindset and ability to become a productive team contributor within the first month
  • Eligibility to work in Canada
